Chat retention
How long your firm keeps chats and uploaded files, the 90-day default for new firms, and how to change it.

Your firm decides how long chats are kept. New firms start at 90 days: a chat nobody has used for 90 days is deleted automatically.
Change it
- In the dashboard, go to Settings > General > Chat history retention.
- Choose Forever (keep until someone deletes them), 30 days, 90 days or 1 year.
- Select Save changes. Your workspace gets the new setting within a minute.
The change is recorded in your audit log.
What gets deleted, and when
- Chats are deleted once they haven’t been used for the period you chose, counting from the last time anyone added to them. This includes chats from before you changed the setting.
- Uploaded files that no remaining chat or assistant uses are deleted after the same period, with their search data. Files an assistant or a chat still uses stay.
- Temporary chats are always deleted after 24 hours.
New and updated chats get their deletion date straight away. Older chats and unused files are cleaned up by a daily job, so a change can take up to a day to reach everything.
Choosing Forever removes the deletion dates set by a shorter period.
Backups
We back up every workspace nightly, encrypted, and keep 7 daily, 4 weekly and 12 monthly backups. Deleted data leaves the backups as they expire, so it can remain in an encrypted backup for up to 13 months. When a whole workspace is deleted, its last backup is kept for 12 months (in case you come back) and then removed automatically, with every older copy. See Where your data goes.
