Everyone at your firm uses Zrico with their own account. You add people from Members in the dashboard. Workspaces are invite-only: nobody can sign up to your firm on their own.
Roles
| Role | What they can do |
|---|---|
| Owner | Everything, including billing, privacy settings and cancelling. A firm always has at least one owner. |
| Admin | Manage members and member invites, see usage and billing, and change retention and branding. |
| Member | Use the workspace. |
Owners and admins must use two-factor authentication.
Invite someone
- Open Members and select Invite member.
- Enter their Email address and choose a Role: Member, or Admin if you are an owner.
- Select Send invite.
They get an email from Zrico with an Accept invitation button. The link works for 7 days. See Sign in to your workspace for what they do next.
You can invite people once billing is set up. To invite several people at once, paste a list of email addresses or upload a CSV; they get the same invite emails.
Seats and invites
Each person and each pending invite uses one seat. When every seat is in use, the dashboard says so and links to Billing, where you can add seats; see Billing and seats. Inviting someone doesn’t change your bill by itself.
Resend or revoke an invite
Pending invites are listed under Pending invites. Resend sends a fresh link that works for another 7 days. Revoke cancels the invite and frees its seat. Resend all sends a fresh link to everyone who hasn’t joined yet.
Change someone’s role
Open the menu on the person’s row and choose Change role. Only owners can change roles. To make someone an owner, invite them first, then change their role.
Remove someone who leaves
Open the menu on the person’s row and choose Remove from firm. They lose access to the workspace straight away: they can no longer open it from the dashboard, and their workspace account is disabled. Their chats stay in your firm’s workspace until your retention setting deletes them.
Admins can remove members; only owners can remove admins or owners. Removing someone frees their seat but doesn’t lower your bill. To pay for fewer seats, lower the seat count on Billing.
For safety, changing a role, granting admin and removing someone ask you to have signed in within the last 30 minutes. If it has been longer, the dashboard asks you to confirm it’s you.
